Mockup for review. Not a live service, and prices are examples.

The 9 p.m. no-heat call, answered and sorted.

HVAC NightLine sets up and runs an AI phone line for small HVAC companies. After hours, or when everyone's on a job, it answers, works out whether it's an emergency, alerts your on-call tech when it is, and books routine work into the openings you give it.

We set it up, test it with you, and tune it every month. You keep your number.

Most shops miss more calls than they think

43.2%of calls to HVAC companies reached a live person, in one call-tracking provider's data
66%actual answer rate across home-service businesses in a 2019 study, where owners had guessed 97%

Answering is only half of it. An AI line that picks up every call but books fewer jobs is worse than voicemail. So we track booked jobs, not just answered calls, and compare against your numbers from before the pilot.

How it works

  1. We learn your rules

One call: your service area, what counts as an emergency, your after-hours fee, who's on call, and which slots it may book.

  2. We build and test it

We write the script and run test calls (no heat, water leak, routine tune-up, wrong area). You listen and approve before it goes live.

  3. It covers the gaps

Calls forward to HVAC NightLine after hours, when your line is busy, or on the schedule you choose. Every call ends with a text summary to you.

  4. We tune it monthly

We review the calls, fix what it got wrong, and send a short report: calls handled, emergencies passed on, and jobs booked.

It follows your rules

What it does

  • Tells callers it is an automated assistant for your company
  • Passes emergencies to your on-call tech by call or text
  • Offers only open slots from your schedule, then texts the caller a confirmation
  • Quotes only fees you've written down, like a trip charge

What it won't do

  • Diagnose equipment or quote repair prices
  • Invent appointment times that aren't on your schedule
  • Make outbound sales calls or send marketing texts

Questions

I already use Jobber or Housecall Pro. Do I need this?

Maybe not. Some field-service tools now have their own AI receptionist. HVAC NightLine is for shops that want someone else to set it up, test it, and tune it every month, or that don't use those tools.

Will callers know it's an AI?

Yes. It says so at the start of the call, and callers can ask for a person. It then follows your rules for transfers and callbacks.

What if it books the wrong thing?

It can only offer the slots you open to it, and every booking comes with a text summary to you, so you can catch problems early. We review calls every month and fix the script.

Do you record calls?

Only if you want recordings. Some states require every party to agree to a recording, so when recording is on, the line plays a notice first.

Try it for 30 days

Tell us your service area and roughly how many calls you get. We'll send a sample script and test calls before you decide.
